Construction Accounting Software

General accounting software wasn’t built for construction’s real requirements — burdened labor cost that’s more than gross wages, certified payroll on prevailing-wage jobs, retainage that has to be tracked apart from a regular invoice, and billing that might work three different ways depending on how the job is actually contracted. Bolting those requirements onto a general ledger tool usually means a spreadsheet running alongside it to cover what the software can’t, and exporting everything by hand to keep an outside accountant in the loop.

What construction accounting actually has to handle

A job might bill on a percentage-complete draw schedule, at fixed milestones, or on straight time-and-material — sometimes more than one of those in the same company’s job mix. Payroll has to account for FICA, Medicare, FUTA, plus a company’s own SUTA, Workers’ Comp, and benefits, not just what’s on the paycheck. A prevailing-wage job needs real Davis-Bacon/WH-347 compliance tracking, not a manual cross-reference against a wage determination sheet. And once the books need to close, all of that has to roll up into real financial statements — not a patchwork of exports from different tools.

How PoPs Ledger handles it

A real general ledger, not just a collections tracker. A construction-specific chart of accounts (editable), double-entry journal entries with debit and credit enforced, and real financial statements — Profit & Loss, Balance Sheet, and Cash Flow Statement — generated straight from the ledger instead of assembled by hand at close.

Both sides of the books, connected. Accounts receivable — invoicing, collections, split and partial payments — with billing that follows however the job is contracted: progress billing (AIA G702/G703), milestone billing, or time-and-material, not one method forced onto every job. Accounts payable lives directly in PoPs Ledger too, fed by PoPs Procurement’s real vendor pipeline — RFQ through delivery — so a bill Procurement generates lands straight in the ledger instead of getting re-entered.

Payroll that accounts for the real cost of a job. Burdened payroll covers FICA, Medicare, FUTA, SUTA, and a company’s own real rates — not just gross wages. Davis-Bacon/WH-347 certified payroll comes with real compliance flags built in as a drafting aid. Field hours logged in PoPs Field push straight into a payroll run, and that run only posts to the general ledger once a named person has reviewed and accepted it — sensitive fields like Social Security numbers and bank details are never stored.

Retainage tracks through its full lifecycle, not as a note on an invoice.

An outside accountant gets a real seat, not a folder of exports. A CPA or bookkeeper can log in directly to review a company’s books — no handing off spreadsheets or PDFs to keep them in the loop.

Already use QuickBooks? Keep using it. A one-way export sends PoPs Ledger’s real entries into QuickBooks whenever you want — QuickBooks stays your system of record if that’s what you prefer, PoPs Ledger doesn’t ask you to abandon it.

Where this fits

For the vendor/purchasing side, see Construction Procurement Software. For the job itself, PoPs Ledger connects to a budget already running in PoPs Project Tracker.

FAQ

Does PoPs Ledger handle more than one billing type?

Yes — progress billing, milestone billing, and time-and-material are all real billing modes, so the way a job is contracted determines how it bills.

Does it cover accounts payable too?

Yes — accounts payable lives directly in PoPs Ledger, fed by PoPs Procurement’s vendor pipeline. One connected system, not two separate ones to reconcile.

Does PoPs Ledger replace QuickBooks?

It doesn’t have to — a one-way export sends real ledger entries into QuickBooks any time, so it can stay your system of record if you prefer.

How does certified payroll work?

Davis-Bacon/WH-347 compliance comes with real flags built in as a drafting aid — it prepares the record, a person still reviews and signs it before anything posts to the general ledger.

Can my accountant get access?

Yes — an outside accountant or bookkeeper can be invited to log in directly and review the books, rather than working from exports.
